Considering a roadshow?

10 things to plan

A roadshow, or road show, is a tour in which a company takes its brand out to its customers, city by city. It can be a huge success, cementing your brand and letting you meet a large number of customers face to face, provided the groundwork has been done properly. Here is what we go through with you when we plan a roadshow.

  1. 01

    Project goals

When you are considering a roadshow, it is important that the overall goals are precisely defined.

    • Goals and purpose, and the mission for the whole tour
    • Success criteria: how do we measure that the tour is a success?
    • Budget for the whole project
    • Customer segments, markets and target groups to reach
    • Duration of the tour
    • Links to other marketing activities, national and international
  2. 02

    Timing and marketing mix

Timing in relation to the company's other initiatives, international ambitions and the season.

    • When is the best time for a roadshow?
    • Should it stand alone or work together with other branding and marketing initiatives?
    • Is it a Danish roadshow, or part of an international roadshow?
    • Which season suits it? Festivals, sports and markets in summer, or an exhibition hall?
  3. 03

    Roadshow vehicle and solutions

The right combination of vehicle, colours, signage, flags, banners, tents, interior and location is crucial. If we do not have the right vehicle in our own fleet, we source it through some of the largest international providers.

    • How large does the trailer need to be for the activities to take place?
    • How much space is there where it will be parked?
    • How quickly does it need to be set up?
    • Will there be outdoor activities with tents or stands?
    • Are toilets or catering needed nearby?
    • Are support and service vehicles needed along the way?
  4. 04

    Roadshow design and build

The trailer can be fitted out and decorated precisely for your purpose. With visual, auditory, tactile and scent elements, you can create a completely unique universe around your brand.

    • What should the trailer look like on the outside? Colours, logo and messages on all sides
    • Should there be a lounge, a training room or something else entirely?
    • Are workstations, screens and projectors needed?
    • What should the lighting and sound be like? Hard rock or Vivaldi?
  5. 05

    Buy or hire?

Very few companies can make owning a mobile show trailer pay off. That is why we offer flexible solutions, from a one-day or weekend event to a project lasting several years.

  6. 06

    Operating costs

We do not like unpleasant surprises. That is why we identify all direct and indirect costs: tour plan, bridge tolls, stands, hotels, transport, cleaning, escort vehicles, security, insurance, catering and maintenance. Event Carrier is the hub for planning, roadshow logistics, coordination and execution.

  7. 07

    Marketing costs

Once the marketing mix is in place, the material needs to be produced. We help through our partners if needed.

    • What PR work needs to be done?
    • Who should receive press releases, invitations and newsletters?
    • Are handouts, adverts, a campaign site or brochures needed?
    • How much should be invested in banners, flags and roll-ups?
    • Should the staff wear uniforms?
  8. 08

    Planning, planning and planning

Poor planning leads to poor performance. The more detailed your roadshow planning, the more you get out of every marketing krone.

    • How long should the tour last, and how much time is there for setup and dismantling?
    • Which locations should be visited, and how long should the trailer stay at each one?
    • Where are the start and finish, and are there locations with restricted access?
    • Are there local events we could take advantage of?
    • Is a trial setup needed before the tour?
    • Where should the trailer and equipment be stored between stops?
  9. 09

    Staffing

A roadshow is a close collaboration between our roadshow service, with a dedicated technician on the vehicle, and your own people. Having the staff ready and the responsibilities divided is crucial for success.

    • How many people are needed on the tour?
    • Which tasks will your people handle, and which will Event Carrier take care of?
    • How are roles and responsibilities divided?
    • Is training needed before the tour starts?
  10. 10

    KPIs, follow-up and evaluation

We stay within the agreed budget and make your marketing costs as transparent as possible. We can measure visitors per day and customer satisfaction after the tour. Goals and reporting are defined before the tour begins.
