Introduction

Event Carrier A/S ("we", "us") operates the website eventcarrier.dk. This policy describes which personal data we collect, how we use it, and what rights you have as a visitor or customer.

The data controller is Event Carrier A/S, Meteorvej 9, 8700 Horsens.

The personal data we collect

Contact details: name, company, role, email and phone number, which we receive when you send an enquiry via Event Planner or contact us.

Information about your event: purpose, location, time, number of guests, desired trucks and services, budget range and your message to us.

Communication: the content of the enquiries you send us by phone or email.

Technical information: which pages you visit, which page you came from, campaign parameters (UTM), device type and country. This is only collected if you have accepted statistics cookies. The country is derived from your IP address, but the IP address itself is not stored.

We do not process payment card or bank details. The website has no payment solution.

The wish list in our Christmas universe is not stored and is not sent anywhere.

How we use your personal data

We use the information to respond to your enquiry, prepare proposals and quotes, follow up on your event and improve the website. If you have actively given consent, we also send you inspiration and news by email.

Your enquiry is processed in order to enter into an agreement with you (Article 6(1)(b) of the General Data Protection Regulation) and on the basis of our legitimate interest in responding to enquiries (point (f)). We only send newsletters and collect statistics with your consent (point (a)).

Disclosure of personal data

We only share personal data with the suppliers that operate the website and its infrastructure on our behalf, and when required by law. We never sell your information to third parties.

Our data processors are:

• Brand Makers, which develops and operates the website
• Vercel, which hosts the website and stores images (servers in Frankfurt)
• Neon, which runs the database (servers in Frankfurt)
• Resend, which sends emails from the website

The map on the website is loaded from OpenStreetMap. When the map is displayed, the OpenStreetMap Foundation receives your IP address in order to deliver the map tiles.

Cookies

We use strictly necessary storage that makes the website work. They do not require consent:

• ec-consent (local storage in your browser) remembers your choice in the cookie banner.
• ec-context (session storage, deleted when you close the browser) remembers which trucks and cases you have viewed, so they can be included in an enquiry.

With your consent, we also use our own statistics cookies to understand how the website is used, so we can improve it. Data is not shared with advertisers, and we do not use Google Analytics:

• ec_vid (400 days) a random ID that distinguishes new from returning visitors
• ec_sid (30 minutes) a random ID for the individual visit
• ec_attr (400 days) which page or campaign you came from the first time

You can change or withdraw your consent at any time via "Cookie settings" at the bottom of the page. If you withdraw your consent, statistics cookies are deleted immediately.

Storage and security

We only keep your information for as long as necessary for the purpose for which it was collected, or for as long as the law requires. Enquiries that do not lead to an agreement are deleted no later than 24 months after the last contact. Customer information is kept for up to 5 years in accordance with the Danish Bookkeeping Act. Statistical data is deleted no later than 25 months after collection.

We use reasonable technical and organisational measures to protect your information, but no solution is 100% secure.

Your rights

Under data protection rules, you have the right of access to, rectification of and erasure of your personal data, as well as the right to data portability and to object to the processing. If you have given consent, you can always withdraw it.

You can always lodge a complaint with the Danish Data Protection Agency if you believe we are processing your information incorrectly.

Transfers to countries outside the EU/EEA

Some of our suppliers (Vercel and Resend) are American companies and may process information outside the EU/EEA. The transfer takes place on a valid legal basis, such as the European Commission's standard contractual clauses or the EU-U.S. Data Privacy Framework.

Changes to this policy

We update the policy from time to time. The latest version is always available on this page.
